  Role:
 Required to take calls, write down telephone messages, book meetings, order stationeries, keep a log book of visitors.
 Handling employees attendance registers
 Taking incoming telephone calls, dealing with such calls promptly in a professional manner, and re-directing calls to appropriate individuals or departments
 General administrative duties including photocopying, filing, booking and organising board and or meeting rooms, ordering stationeries, dispatching and accepting mails and couriers services (parcels)

   Inform potential applicants about facilities, operations, benefits, and job or career opportunities in the organization.
   Screen and refer applicants, making hiring recommendations when appropriate.
   Joining formalities.
   Plan and conduct new employee orientation to foster positive attitude towards organizational objectives.
   Handling employee database(both in soft form and files management)
   Serve as a link between management and employees by handling questions, interpreting and administering contracts and helping resolve work related problems.
   Plan, direct, supervise, and coordinate work activities of staff relating to employment, compensation and employee relations

   Perform forecasting, budgeting and financial data & variance analysis
   Monthly presentations on financial performance.
   Maintains monthly timetable for both routine and ad-hoc items.

 Must have high standards: must continually strive to fine-tune and improve the systems and processes supporting the Managing Director and to complete own work to a high degree of quality.

 Strong Analytical & lateral thinking skills.
 The ability to speak multiple languages is a major plus.
   Willing to travel (outstation) at least thrice a month.
 
  Role:
   Manage the calendars - invitations and book meetings. Act as first point of contact for all invitations.
   Manage meetings as requested including preparation and distribution of agendas and other advance materials, set-up of conference rooms, preparation of refreshments, minute-taking.
   Filter MD's incoming calls, e-mails and paper mail, screening telephone calls, enquiries and requests, and handling them when appropriate;
   Prepare official correspondence such as letters of support, thank you and invitations.
   Book travel including preparation of itineraries and post-trip follow-up including expense report preparation, as well as 24/7 availability for problem-solving during trips.
   Greet and settle MD’s guests - meeting and greeting visitors at all levels of seniority;
   Draft monthly activity and status reports as well as announcements and other communications.
   MD’s first point of contact with people from both inside and outside the organisation. Redirect requests appropriately inside the organization.
   Carrying out background research and presenting findings - producing documents, briefing papers, reports and presentations.
   Deputising for the MD, making decisions and delegating work to others during MD's absence;
   Meeting with senior managers to review office performance;
 Responsibility for accounts and budgets;
 Ordering stationery;
 Other duties as required. There is an occasional requirement for evening or weekend work, as well as travel.
